Hotel Prince came up with a simple and specific requirement of having a SharePoint-based Room Booking Management System. The client is into the hospitality industry, gets multiple bookings for their varied room types. Bookings are made in two categories which are advance or walk-in. Our application assisted users in keeping track of records for booking, rooms available, daily check-in/out.

 

Challenges


The client had a huge amount of room bookings in advance and walk-ins. To keep a daily track of confirmed bookings, walk-ins, room availability, or cancellation were the few key concerns. The system had to be utilized across multiple users in the organization with varied user permission and authorization.

 

Solution


AscenWork Technologies developed an end-t0-end Room Booking Management System that provided a trail of bookings which are done in advance, daily walk-ins, any cancellation of existing bookings, and room availability in real-time. The solution helped the client in planning the sales and occupancy of the entire room inventory. The system also captured room categories, room tariffs, special rates, discounts, and other utilities at the time of Invoice preparation. In addition, our SharePoint application was integrated with the GoFrugal System for accounting purposes.

Results


Tracking Room Availability, Daily Check-In / Check-Outs, Booking Calendar, and User-wise Dashboard helped Hotel Prince in automating the manual business process. In addition, we developed an Integrated Room Booking Management System with Restaurant application and Accounting Application. The system enabled automation from Guest check-in to Invoice Processing with a click of a single button. The system provided more than 25 key MIS Reports.
