Founded in 2011, the client is an independently-owned, creativity-led production agency that solves business problems with audio-visual content. They offer a full range of film production and Advertisement services and work with some of the biggest brands and film directors across the globe. In addition, they brought a unique storytelling ability that elevates brand messages in today’s media-saturated marketplace.

 

Challenges


The process of an AD Shoot progresses through various stages, including Planning, Site Visits, Celebrity Onboarding, Shooting, Production, Pre-Production, and Post Production expenses. All these expenses were estimated and calculated manually on an excel sheet. The client wanted a web-based solution and accessible from any location on the web so that real-time tracking of a project can be done.

 

Solution


AscenWork Technologies developed a Project Tracking Application with Approvals at various stages. While creating the Project, the user can park the costs incurred against the project under various heads like Production, Pre-Production, Reiki, Shooting, Out of Pocket Expenses, and many more. The administrator of the application can define the categories. The cost estimation against the project was done by the creator and sent for approval to the manager. Once the project and costs are approved, the finance team validates all the estimated costs with respective vendors and later locks the costs. This forms the final estimation against the projects. During the execution of the project, the client deputes an accounts executive, who will enter the actual expenses in the application. The actual costs entered can now be compared with the estimates, thus giving a real-time view of the project budgets. This immensely helped the client track and manage multiple projects with cost controls and compliance.

Results


Project Management Application developed for the client enables the client to have a real-time view of all active projects and track them for Estimated vs. Actual costs. The developed application helps in tracking cost escalation, additional expenditures, and managing cash flow. The alerts and notification module helps in getting timely updates on all project activities.
